Manage products, availability, equipment and rentals from a single operational area

Inventory management for your diving center becomes simpler: products and equipment are organized within a single system, with always up-to-date quantities, configurable categories and variants, and direct integration with activities, rentals, and accounting.
In multi-location setups, you can define maximum warehouse quantities and specific quantities per location, with the ability to transfer equipment between locations as needed.

The Inventory section includes both the Equipment area, dedicated to items for rental or operational use, and the Products area, designed to manage availability, pricing, and configurations in a structured way.
A system that provides a clear view of available resources at all times, improving coordination between operations, rentals, and financial management.

Before the activity

Equipment always under control

The Equipment subsection includes all items configured as gear, meaning products intended for rental, assignment to customers, or operational use during dives and courses. For each item, you can view name, category, subcategory, price, quantity in store, quantity in warehouse, and visibility status.

Quick filters for availability and status

Items can be filtered by category, visibility, and available quantities, also distinguishing between multiple locations if present. This makes it easy to quickly identify what is out of stock or running low. It allows the diving center to immediately know what is ready for upcoming activities and avoid operational shortages.

Products organized into categories and subcategories

The Products section allows you to build a well-structured inventory, with customizable categories and subcategories based on the diving center’s setup. Each item can be clearly classified and easily found during daily sales, rental, or assignment activities.

Stock control and smart alerts

Data-driven purchasing decisions

For each product, it is possible to define a low stock threshold, a minimum level that allows you to proactively monitor availability. During equipment assignment for a specific trip, the system automatically notifies the operator if the available quantity is falling below the defined level.

Additionally, if an item is no longer available, the request is still recorded. This allows you to track unmet assignments and review this data in the statistics section. A practical tool to plan purchases more effectively, based on real demand observed during the operational season.

During daily management

Each product can be configured with commercial and operational information such as name, price, VAT, available quantities, barcode, and visibility status. In addition, products can be classified as equipment, making them available for rental and use in activities.

Sizes, variants and extras

AquaDivePro also allows you to manage products with variants or additional options, such as sizes, numbers, or specific configurations. This is particularly useful for diving equipment, where the correct assignment of size and availability directly impacts the customer experience.

Images and barcodes for faster management

Each product can include images, descriptions (also in multiple languages), and a barcode to simplify identification and search. This speeds up operations at reception and in the virtual cash desk, especially when managing a large number of items.

Integration with rentals and activities

Equipment configured in the inventory is automatically used and linked across customer records, scheduled trips, courses, accounting, and rental statistics. This makes the inventory a real operational foundation, not a separate archive disconnected from the daily management of the diving center.

A clear view for analysis and restocking

Equipment assigned to customers is always connected to activities and accounting. This allows staff to immediately understand what has been rented, used, and what needs to be charged, without manual checks.

Inventory data is not only useful for daily operations: it also feeds rental statistics, helping you understand which items are used most and plan purchases, replacements, and seasonal availability more effectively.
